Check the physical identifiers

Compare the incoming and outgoing model, serial and facility asset identifiers. Record both devices in the work package before updating the room assignment. If a label is missing or inconsistent, ask the inventory owner to resolve it against the equipment. A matching location or department name is not proof that the record still describes the same device.

Keep separate histories connected

Update the outgoing item’s disposition and the incoming item’s assigned location through the approved process. Link the replacement event so future readers can understand why the room’s equipment changed. Carry forward relevant project context without transferring technical service conclusions from one physical device to another. Check open requests, training references and accessory assignments for any follow-up needed after the replacement.
