A new provider needs enough information to understand the agreed work without receiving every document the organization holds. Build the information pack around the service scope and the access permissions that actually apply to the engagement.
Start with the agreed responsibilities
Identify the equipment and sites included in the arrangement, the authorized contact route and the expected record handoff. Have the service owner select the relevant inventory and previous service information. Share sensitive technical records only through the approved access process. Do not assume that receiving an information pack authorizes a provider to change configuration or perform work outside the agreement.
Check whether the pack supports a first request
Use a hypothetical scheduled visit to review the contents with the provider and internal coordinator. Can they identify the asset, find the applicable reference and arrange site access? Record missing information and assign its owner. Confirm how later changes will reach the provider and who receives corrected records. A one-time export becomes less useful if equipment moves or responsibility changes without a corresponding update.
