A connector on a device does not tell the project team everything needed to connect it. Network, application and manufacturer requirements can differ between systems. Collect the approved requirements before a room’s infrastructure scope is treated as settled.

Request the current technical information

Ask the device owner or supplier for the applicable installation and connectivity documentation. Have the network and application teams review their portions. Record the model and intended setup to which the information applies. Avoid copying requirements from a different device because it appears similar or was installed successfully at another location.

Assign unanswered questions to their owners

Keep a short requirements log for missing specifications, approval needs and unresolved site conditions. State which installation decision depends on each answer. The coordinator’s role is to track the dependency, while the qualified owners determine the technical solution. Once the requirements are agreed, link them to the room plan and acceptance checklist. If equipment selection changes, reopen the affected review before ordering or installing around outdated assumptions. Date the requirement review so later equipment changes can be compared against it.
