Make equipment return authorizations easy to reconcile

A return authorization can sit in an email while the equipment record shows only that an item left the building.

A return authorization can sit in an email while the equipment record shows only that an item left the building. Connect the authorization, asset and shipment so the service coordinator can follow the return without searching separate systems for every detail.

Match the authorization to the physical item

Record the supplier reference, authorized items and any required packaging or documentation. Verify the equipment and accessory identifiers before shipment. Follow the organization’s approved process for technical preparation and stored information. An administrative return label does not establish that equipment has completed all required preparation for leaving the site.

Track the expected response

Identify whether the agreement calls for service, replacement, evaluation or another outcome. Keep that expectation separate from an actual result. Record shipment handoff and the contact responsible for following up with the supplier. When equipment or a replacement returns, reconcile the identifiers and documents rather than assuming it is the same physical item. Update inventory and related service work so the record explains the complete outward and return journey.

Practical takeaway

Link the return authorization to asset identity, preparation, shipment and expected outcome. Close it only when the received result has been reconciled.
