A device can be easy to find today and effectively disappear from the inventory tomorrow if its move is not recorded. Departments do not need a complicated new system to report a transfer. They need a clear point in the process when location ownership changes.
Define the transfer information
Capture the asset identifier, previous location, destination and person receiving it. Distinguish a temporary loan from a permanent move. Ask the responsible technical and clinical teams whether the new location requires an authorized readiness check. Moving the physical equipment does not automatically establish that its connections, accessories or intended use are suitable in the new space.
Close the loop with the record owner
Send the transfer through the approved inventory process and confirm that the master record reflects the result. Keep any open service request attached to the device so it is not lost when the department changes. For a temporary move, record who will review its return date. If the device moves again, update the same trail instead of creating a fresh record with no history.
Practical takeaway
Put location updates at the handoff between sending and receiving teams. The person moving equipment should know exactly where to report the change.
