A project can have five copies of a drawing and no clear answer about which one to use. The solution is a simple document control habit: one known place for current work, clear revisions and a way to retire outdated instructions.

Name the working set

Choose an approved shared location and give each document an owner. Use filenames that identify purpose and revision without relying on phrases such as “final final.” Place the approved room list, installation instructions and open decisions together or link them through an index. Keep sensitive technical information in the access-controlled systems selected by its owner.

Make changes visible to field teams

When a revision affects scheduled work, describe the change and tell the people who need it. A new upload alone may not reach someone working from a downloaded copy. Remove superseded documents from the active set while preserving the project record. At the start of a visit, confirm that the team has the applicable revision. At closeout, separate the final accepted documents from working drafts and unresolved questions.
