Choose the records support actually needs

Ask the receiving team to identify the equipment list, accepted configuration references, location records and open issues it needs. Include supplier and internal ownership boundaries. Remove draft instructions from the active handoff set while preserving the project history separately. Keep sensitive technical records in the approved system and provide an index rather than copying everything into a general folder.

Walk through a sample support request

Use an ordinary hypothetical request to check whether the receiving team can locate a device, find its approved reference and identify the right escalation route. Record gaps and assign them before the project team disperses. Confirm who owns unresolved implementation issues and how those differ from routine service requests. The handoff is complete when the receiving team understands the record and its responsibilities, not merely when a file is sent.
