Prepare a new project coordinator to take over active work

A coordinator handoff should let the incoming person understand the next week of work without reading every message from the project’s beginning.

A coordinator handoff should let the incoming person understand the next week of work without reading every message from the project’s beginning. Give them the current plan, unresolved decisions and a map of the people who own the dependencies.

Build a brief around the next milestones

List upcoming visits, deliveries and approval dates. Link to the current documents and explain any scope changes that affect scheduled work. Identify who controls room release, technical acceptance and customer communication. Include commitments already made so the incoming coordinator does not accidentally promise a different sequence.

Walk through the open decisions

Review the highest-priority blockers together and explain what evidence has been requested. Keep personal recollections separate from documented decisions; if something important is known only verbally, confirm it with the appropriate owner. Arrange an introduction to the key contacts and establish who handles questions during the transition. Update access to project records through the organization’s normal process. After the handoff, check that the incoming coordinator can find the current work package and contact route independently.

Practical takeaway

Hand over the next actions and their context, not just a folder. A short guided review makes the existing record much more usable.
