A workstation installation can depend on more than the computer arriving on time. Its location, approved software, connection and user preparation may belong to different teams. Bringing those requirements together gives the implementation visit a clear starting point.

Define the approved setup

Confirm the workstation’s intended role with the clinical application owner. Identify who supplies the hardware, who approves software installation and who provides authorized access. Record the planned desk or cart location and any required peripherals. Keep login details out of shared planning documents and follow the organization’s access process rather than creating a convenient shared account.

Prepare an agreed acceptance check

Ask the responsible application and IT teams to define what they will verify and who may perform each check. Use approved test information and avoid live patient records for an informal demonstration. Record any dependency that is still unavailable before the implementation team travels. After the visit, separate installed equipment from accepted functionality so that a partially finished workstation is not described as complete. Include the person responsible for returning the workstation information to the department.
