Configuration and acceptance answer different questions. Configuration records how the authorized team set up a system. Acceptance records whether the agreed requirements were demonstrated within the defined scope. Keeping those steps separate makes a project’s progress easier to explain.
Define each deliverable
Ask the technical owner what configuration information belongs in the controlled record. Ask the accepting owner which approved checks and supporting evidence are required. Identify dependencies such as application access or a receiving interface before scheduling validation. A completed setup checklist should not be used as a substitute for a test that could not yet be performed.
Report partial completion clearly
If configuration is finished but acceptance remains pending, record the reason and next owner. Keep the equipment’s operational status under the facility’s established process. When validation occurs, retain its conditions and any limits in the acceptance record. If a later approved change affects the configuration, have the responsible owner decide what review or repeat validation is needed. This avoids treating the first completed checklist as a permanent statement about every future setup.
Practical takeaway
Give configuration and acceptance separate records and owners. Then show their relationship in the rollout schedule and final handoff.
