A room may need a mounting team, cabling contractor, device specialist and application owner before it is ready. Booking them all for the same day does not necessarily shorten the project. First establish the order of their dependencies.
Identify the output each team needs
Ask every team what must be complete before it can start and what it will leave for the next team. Record space, access and inspection dependencies as well as equipment tasks. Have the appropriate owner resolve conflicts between scopes. A schedule should not rely on one vendor performing work that belongs to another agreement simply because both are on site.
Create clear handoff points
Define how completion or an exception will be reported to the next participant. Leave room in the plan for the agreed review instead of assuming every stage can start immediately after physical work ends. If the first activity is delayed, tell all affected teams through one coordination route. Update the sequence and room release information together so a revised appointment does not conflict with the facility’s available window.
Practical takeaway
Schedule the handoffs between vendors, not just their arrival times. Each team should know its prerequisite, deliverable and next contact.
